Privacy notice

PhD Networks & Systems Ltd is responsible for the VibeReel waitlist.

Your waitlist details

We collect your email, chosen roles (discoverer, creator or both), signup date and whether you want launch updates. You may also share your name, project name and links, project stage, motivations and interests. Campaign labels in the link you arrived through may be stored with your signup to understand referral sources. Please do not include sensitive information or login details.

Why we use them

We use these details to manage your requested place on the waitlist, send one requested welcome email with your confirmation and the planned features, and assess interest in the proposed community. We rely on our legitimate interests in responding to and managing requested waitlist registrations. If you separately opt in, we use your consent to send launch updates, research invitations and early-access news. Joining does not opt you into unrelated marketing. Withdrawing launch-update consent does not require you to leave the waitlist.

Optional site measurement

Measurement is off until you choose “Allow measurement”. It records page views, approximate unique visitors and sessions, campaign labels and the referring website’s domain, section visits, CTA clicks, form starts, signup outcomes and concept-preview interactions. No form values, email addresses, full referring URLs or raw IP addresses are stored in these events. Random visitor and session identifiers are pseudonymous, not a way to identify you by name.

Your measurement choice and, if allowed, a random visitor identifier are stored in your browser for 30 days. Events older than 90 days are removed when the event endpoint next processes a request. Do Not Track and Global Privacy Control signals suppress event collection. Change your choice using “Analytics choices” in the footer; declining removes the visitor identifier. Measurement covers only visitors who allow it, so it is not a count of every visitor.

Spam protection

To limit repeated requests, the server stores a rotating, hashed request key and a request count. It does not store a raw IP address for this purpose. Expired keys are removed during subsequent requests, after a short retention window of up to approximately 24 hours beyond expiry.

Service providers

Cloudflare hosts the site and stores waitlist data. Make and Google Gmail deliver the signup confirmation. Website requests may include technical information such as your IP address and browser details, processed by the host for delivery and security. Fonts are served from this website. We do not sell personal information or use advertising pixels.

Retention

We keep waitlist details while they are needed to assess VibeReel and manage the requested waitlist. We delete records when the project ends or they are no longer needed. Confirmation delivery records prevent duplicate emails and support delivery troubleshooting while the waitlist remains active.
